How do I check/uncheck ‘Leave a copy of messages on the server’?

We do not recommend leaving a copy of messages on the server for an indefinite period; the maximum period should be no longer than 14 days. Mails accumulate quickly and negatively affect customer disk usage resulting in disk over-usage charges.


  • Outlook 2010

      From the top menu bar select the ‘File’ tab.

      Click on ‘Account Settings’, when the drop down appears beneath this tab click on ‘Account Settings’.

      When the window opens, double-click on your email account
    4. 4
      In the ‘Account change’ window, click on ‘More Settings’, which is located near the bottom right-hand corner.

      Select the ‘Advanced’ tab.
    6. 6
      You should see a checkbox titled: Leave a copy of messages on the server.
    7. 7
      Uncheck ‘Leave a copy of messages on server’ and click on ‘OK’.




  • Outlook 2007

      From the top menu bar select the ‘Tools’ tab.

      Select ‘Account Settings’ from the drop-down list.

      When the window opens, double click on your email account.

      In the ‘Change E-mail Account’ window, select the ‘Advanced’ tab.

      Uncheck ‘Leave a copy of messages on server’ and click on ‘OK’.





  • Thunderbird

      From the top menu bar select the ‘Tools’ tab.

      Select ‘Account Settings’ from the drop-down list.

      From the left menu pane, select ‘Server Settings’.

      In the right section of the window, uncheck ‘Leave messages on server’ and click on ‘OK’.





  • Windows Live Mail

      From the top menu bar select the ‘Tools’ tab.

      Select ‘Accounts’ from the drop-down list.

      When the window opens, double click on your email account.
    4. 4
      Select ‘Properties’.

      Select the ‘Advanced’ tab

      Uncheck ‘Leave a copy of messages on server

      Click ‘Apply’ and ‘OK’.





  • Macintosh OS X Mail

      Click on the ‘Mail’ menu item and select ‘Preferences’.

      Click on ‘Accounts’ and select your email account.
    3. 3
      Select the ‘Advanced’ tab.
    4. 4
      Check ‘Remove copy from server after retrieving a message’.
    5. 5
      Emails can be immediately deleted from the server by clicking the ‘Remove Now’ button.





  • Entourage

      From the top menu bar select the ‘Tools’ Tab.

      Select ‘Accounts’ from the drop-down list.

      When the window opens, click on your email account.
    4. 4
      Click on the ‘Edit’ button (top of the Accounts window).

      Select ‘Options
    6. 6
      Uncheck ‘Leave a copy of each message on the server’.
    7. 7
      Emails can be immediately deleted from the server by clicking the ‘Get all messages left on server’ button.
